At BusiVet, we take the privacy of your personal information seriously. This Privacy Policy explains how we collect, use, disclose, store, and safeguard your personal information when you use our services, engage with our digital products, or interact with our website at busivet.com.au. 

This policy is written in accordance with the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth). By using our services or digital products, you consent to the practices described in this policy. 

 

What information we collect

Information you provide 

When you engage our services, use one of our digital products, or complete a form on our website, we may collect: 

  • Your name, email address, phone number 
  • Business details, including business name, ABN, and role within the business 
  • Property information relevant to a valuation or advisory service 
  • Insurance-related information where you engage a service that requires it 
  • Documents and photos you upload to our digital products in the course of an engagement 
  • Payment information, which is processed by a third-party payment provider — we do not store card details on our systems 
  • Any other information you voluntarily provide 

 

Information collected automatically 

When you visit our website or use our digital products, we automatically collect: 

  • Technical data such as IP address, browser type, and device type 
  • Usage data such as pages visited, features used, and interaction patterns 
  • Diagnostic data used to keep the service reliable and secure 
  • Cookie and session data — see the “Cookies” section below 

 

Information from third parties 

In the course of providing our services, we may receive information from publicly available property data sources, government data sources, and business partners who introduce clients to us. 

 

How we use your information

We use your information to: 

  • Provide, maintain, and improve our services and digital products 
  • Deliver the reports, valuations, or analyses you have engaged us to produce 
  • Communicate with you about your engagement, service updates, and administrative matters 
  • Send you marketing communications where you have consented, or where permitted by law — you can opt out at any time 
  • Understand how our services are used, so that we can improve them 
  • Comply with legal, regulatory, and contractual obligations 
  • Detect, prevent, and respond to fraud, security incidents, and other harmful activity   

 

How we protect your data 

BusiVet treats security as a first-class part of how our services and digital products are built. We use the following measures: 

  • Data hosted in Australia — your personal information is stored in secure, enterprise-grade cloud infrastructure located in Australian data centres. 
  • Encryption in transit and at rest — data transmitted to and from our services is encrypted, and stored data is encrypted using industry-standard algorithms. 
  • Access controls — access to systems containing personal information is restricted to authorised personnel, protected by multi-factor authentication, and granted on the principle of least privilege. 
  • Credential security — system credentials are stored in a dedicated secure vault, never in code or on personal devices. 
  • Segregation of environments — production data is kept separate from development and testing environments. Test environments do not use real customer data. 
  • Ongoing monitoring — we continuously monitor our systems for security vulnerabilities and unusual activity. 
  • Regular backups — databases and file storage containing personal information are backed up automatically, with defined retention windows that allow us to recover from accidental loss or corruption. 
  • Periodic external review — our technical environment is subject to periodic review by an independent qualified party, and findings are actioned on a documented schedule. 

Despite these measures, no method of internet transmission or electronic storage is completely secure. While we take reasonable steps to protect your information, we cannot guarantee absolute security. If a data breach occurs that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches scheme under the Privacy Act 1988. 


4. How we share your information

We may share your information with: 

Third-party service providers 

We use trusted third-party services to help operate our business and deliver our digital products — for example, cloud hosting, payment processing, mapping data, and analytics. These providers only receive the information necessary for their specific function, and are contractually obligated not to use it for any other purpose. 

Landlords, tenants, and property partners 

As part of providing property advisory services, BusiVet may share relevant information with potential landlords, tenants, or partner agents to facilitate property solutions. This is done only in the context of your engagement with us. 

Legal requirements 

We may disclose your information if required to do so by law, in response to a valid request from a government or law enforcement authority, or where necessary to protect the rights, property, or safety of any person. 

Business transfers 

If our business is sold, merged, or transferred, your information may be transferred as part of that transaction. Any successor entity will be bound by this Privacy Policy or an equivalent one. 

What we do NOT do 

  • We do not sell your personal information to third parties. 
  • We do not share your personal information with advertisers. 
  • We do not use your personal information to train third-party AI models. 

 

5. Digital Products

BusiVet operates digital products — web applications used by clients, staff, and partners — that collect and process personal information as part of their function. Personal information you submit through those products is: 

  • Transmitted over encrypted connections and stored in access-controlled systems 
  • Kept private to your engagement — one client cannot see another client’s data 
  • Accessed by our staff only where necessary to deliver your engagement 
  • Retained for as long as it is needed to deliver the engagement and meet the retention obligations set out in section 7 

Where you request deletion of information you have provided (subject to any legal retention obligations), we will action that request within a reasonable timeframe. 

6. Cookies and similar technologies

We use cookies and similar tracking technologies on our website and within our digital products to: 

  • Remember your preferences and settings 
  • Keep you signed in during a session 
  • Understand how our website and products are used 
  • Improve performance 

You can control or disable cookies through your browser settings. Disabling cookies may affect some functionality — in particular, some of our digital products require cookies for authentication. 

7. Your rights

Under the Australian Privacy Act, you have the right to: 

  • Access your personal information that we hold 
  • Request correction of your information if it is inaccurate or out of date 
  • Request deletion of your personal information, subject to any legal or contractual retention obligations

To exercise any of these rights, contact us through the website. We will respond within a reasonable timeframe, and in any event within 30 days. 

If you are not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au. 

 

8. Data Retention

We retain your personal information only for as long as necessary to fulfil the purposes for which it was collected, including the duration of your engagement, any period required to comply with legal or regulatory obligations, and any period required to resolve disputes or enforce our agreements. When we no longer need your personal information, we take reasonable steps to securely delete or de-identify it.
 

9. Overseas disclosure

Your personal information is stored in Australia. We do not currently transfer personal information overseas for storage. 

Some of the third-party service providers we use are based overseas. Where we use these providers, we take reasonable steps to ensure they handle information consistent with the Australian Privacy Principles, send only the minimum information necessary, and do not send raw personal information where non-identifying data will do. 

10. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices, our digital products, or legal requirements. The updated policy will be posted on our website with a revised effective date. We encourage you to review this policy periodically.
